Terms & Conditions of Booking & Participation
1. Definitions & Company Details
All bookings and transactions are made with Rapid Horizons Ltd (“RH”), registered company number 09473042, registered office: Cawley House, 149–155 Canal Street, Nottingham, NG1 7HR.

Client / Booker: the person, company, or organisation making the booking

Participants / Attendees: individuals taking part in the activity

Activity: any course, experience, or service provided by RH

Activity Date: the scheduled date of the activity
-
Transaction: confirmation of a booking following payment
2. Bookings & Payment
-
Most activities may be secured by payment of a £20 per person deposit at the time of booking.
-
The remaining balance must be paid no later than 14 days prior to the activity date.

Bookings made within 14 days of the activity date require full payment at the time of booking.
All deposits are non-refundable under all circumstances.
RH reserves the right to cancel a booking where the balance remains unpaid by the due date.
3. Participant Numbers & Minimum Group Sizes
Most activities require a minimum of 4 participants to operate.
In certain circumstances, and by prior agreement, activities may operate with a minimum of 2 participants.
Where minimum numbers are not met, RH will contact the client as early as possible and offer a change of date, time, or activity.
Changes to participant numbers:

Increases (subject to availability) will be charged at the published per-person rate.

Reductions within 14 days of the activity date are not eligible for refunds or credits.
4. Cancellations, Credits & Rescheduling

Once a booking has been confirmed, refunds are not issued for client-initiated cancellations.

Where a participant is unable to attend due to illness or injury, RH may offer a discretionary credit note, which can be used to reschedule. A rescheduling fee may apply.

Credit notes have no expiry date, unless otherwise stated.
5. Weather, Water Levels & Force Majeure
RH endeavours to deliver all booked activities. However, some activities are dependent on environmental conditions.
RH reserves the right to cancel or amend activities where conditions are deemed unsafe due to:

Weather
-
River levels or flow rates
-
Flooding or environmental hazards
-
Circumstances beyond RH’s reasonable control (“Force Majeure”), including but not limited to pandemics, government restrictions, fire, or natural disasters
In these circumstances:

An alternative activity or open-ended reschedule will be offered
-
Refunds will not be issued
-
RH is not liable for associated costs such as travel, accommodation, or other expenses
6. Changes to Activities

Activities taking place on rivers are subject to fluctuating water levels.
-
Where the booked activity cannot be delivered safely, RH may offer a suitable alternative activity. This alternative may differ in craft or format but will be appropriate to prevailing conditions.

Where an alternative activity is offered, no refund will be due.
7. Health, Medical Conditions & Fitness to Participate

Participants must disclose all known medical conditions, injuries, or health concerns prior to participation.

Participants are advised to seek medical advice before booking if unsure of their fitness to take part.

Failure to disclose relevant health information may result in exclusion from the activity, with no entitlement to a refund or credit.
8. Acknowledgement of Risk & Personal Responsibility
Outdoor adventure activities involve inherent risks, including the risk of physical injury, exposure to environmental conditions, and unforeseen circumstances.
By participating, participants:

Acknowledge and accept these inherent risks

Confirm they have sufficient information to make an informed decision

Accept responsibility for their own actions
-
Agree to follow all safety instructions and use safety equipment as directed
Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
9. Safety Management & Standards
All activities are risk assessed and delivered by appropriately qualified instructors in line with relevant industry guidance and best practice.
RH reserves the right to remove any participant whose behaviour, fitness, or conduct is deemed unsafe. In such cases, no refund or credit will be issued.
10. Under 18s & Safeguarding
RH adheres to its Safeguarding Policy (available upon request) and holds an Adventure Activities Licensing Authority (AALA) licence.
Participants under 18 years of age who are not accompanied by a parent or legal guardian must submit a completed Young Person’s Consent Form prior to participation.
11. Insurance
Participants are responsible for ensuring they hold suitable personal insurance appropriate for adventure activities.
12. Third-Party Providers
Certain activities (including climbing and mountain biking) may be delivered by approved third-party providers operating on behalf of RH. These activities remain subject to these Terms & Conditions.
